We collect only the information necessary to deliver brutally accurate billing, support our customers, and run secure systems.

  • Authentication details (password hashes, OAuth identifiers, audit logs).
  • Support communications, notes, and attachments shared with our team.

Operational and Usage Information

  • Billing events, invoices, plans, and other records you store in the Service.
  • API usage, request metadata, and telemetry needed to secure the platform.
  • Device details, IP addresses, and browser information captured via logs.

Payment card data is handled by PCI-compliant processors like Stripe; we do not store full card numbers on MeanLedger systems.

3. How We Use Information

We process information to:

  • Authenticate users and secure tenant-specific data.
  • Deliver CRM, billing, and reporting features across every tenant you connect to MeanLedger.
  • Send transactional emails (invoices, alerts, account notices).
  • Provide customer support and resolve issues.
  • Monitor system health, detect abuse, and improve product performance.
  • Comply with legal obligations and enforce agreements.

We do not sell customer data or use it for unrelated advertising.

4. Data Sharing

We share data only with trusted parties that help us run MeanLedger:

  • Infrastructure providers (hosting, storage, monitoring) under strict security agreements.
  • Payment processors such as Stripe to manage subscriptions and invoices.
  • Service partners that help with email delivery, authentication, or analytics.
  • Law enforcement or regulators when required by applicable law.
  • Successors if we undergo a merger or acquisition, subject to the same protections.

We take security seriously and implement multiple safeguards:

  • Audit trails, least privilege policies, and periodic access reviews.

6. Your Rights and Choices

Depending on your location, you may have rights to:

  • Access, export, or update information in your account.
  • Delete data, subject to legal or contractual retention requirements.
  • Opt out of non-essential marketing communications.
  • Object to certain processing or request restrictions where local laws apply.

7. Customer Data Ownership

Tenant operators control the customer data they store in MeanLedger. We process that information solely on their behalf and in accordance with our agreements. If you believe a tenant has stored your information and you want it updated or removed, please contact the tenant directly or reach out to us so we can help route the request.

8. Data Retention

We keep data only as long as necessary to deliver the Service or meet legal needs:

  • Active tenant data is retained until the contract ends or a deletion request is fulfilled.
  • System logs and backups may persist for up to 180 days for security and compliance.

When data is deleted, we remove it from active systems and schedule secure purges from backups.

9. International Transfers

MeanLedger operates primarily in the United States. If you access the Service from another region, your information may be transferred to or stored on US servers. We implement safeguards such as Standard Contractual Clauses when required to ensure equivalent protection.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we make changes, we will revise the "Last Updated" date and, if the changes are material, notify you via email or in-product messages. Please review this page regularly.
